Services include
- Complimentary initial consultation.
- Unlimited meetings, emails, phone calls with office staff and/or coordinator to prepare.
- Email communication will be responded to within 48 business hours.
- Budget evaluation and composition, to be approved by the client.
- Personalized wedding tracking guide to assist with a detailed planning task list.
- Digital guest list compilation with bride, groom and parents.
- Management of the couples’ wedding website on preferred digital platform.
- Assistance with custom design board, linens, rentals, and overall décor rentals.
- All Ashley & Co. rentals will be an additional charge to the final invoice based on selections made.
- Appointments, price, style, service and availability evaluations of all below vendors, to include:
- Ceremony Venue
- Reception Venue
- Caterer – scheduling of menu tastings and evaluations for wedding reception with selected caterers
- Florist – scheduling of mock-set to evaluate centerpieces with selected florist, scheduling of bridal bouquet for portrait
- Photographer – scheduling of engagements, scheduling and attendance of bridal portraits
- Videographer
- Bride and Groom’s Cakes – scheduling of tasting and design meeting with selected bakers
- Make Up Artist and Hair Style – scheduling of trial sessions with selected artists, scheduling of bridal portraits with artists
- Officiate
- Ceremony Music
- Reception Entertainment
- Stationery – save the dates, invitations, programs, name cards, etc.
- client is responsible for the cost of stationery printing, addressing and postage. ACO will assemble and mail out all save the date and invitation suites.
- RSVP tracking upon return with a weekly update of guest count on a shared spreadsheet.

- Hotel Accommodations
- Purchase of Wedding Personal Items (cake serving set, toasting flutes, wedding party gifts, etc.)
- Wedding Week Spa Appointments
- Management of Vendor Bookings from the List Above
- Scheduling of all vendor appointments, plus management of communication, contracts, deposits and final payments between client and vendor.
- Coordinator attendance of ALL vendor meetings of client choice during selection and planning process.
- Final meetings with vendors to confirm all details.
- Full wedding weekend time line constructed with and approved by the client, to be distributed to all vendors and others if necessary.
- An initial timeline meeting will be set to prepare a timeline outline of the day. This will assist you in knowing contracted hours for vendors as we book them.
- A second timeline meeting will be scheduled between 1 – 2 months out from the wedding day to finalize final details (photos, music selections, etc.)
- Detailed ceremony outline, including seating of immediate family, approved by client.
- Timeline meeting to be scheduled between 1 – 2 months out from wedding day to finalize details (music selection, wedding party entrance order, family seating, etc.)
- Custom VIP time line to be distributed to the client two weeks before wedding day with detailed day of schedule for wedding party, immediate family, and couple.
- Copies of the time line place onsite in bridal and groom suites on the morning of the wedding day.
- Diagrams of ceremony location and reception location for seating and décor purposes in our custom diagramming system.
- Diagrams will be created and generated after venue walkthrough meeting.
- Final meetings with vendors to confirm details, catering, photographer, entertainment, florist, venue.
- Meetings will be scheduled either in person or over the phone to finalize details as client wishes.
- Collection week of wedding and transportation of all personal items at the shop for wedding day.
- All personal items must be packed and returned to the client the night of the wedding. Alcohol or perishable food will need to be transported to/from the venue by the family.
Rehearsal Day
- Decoration and/or set up at ceremony and reception site, if allowed by venue. Hours dictated by venue and Ashley & Co team.
- Full coordination of ceremony rehearsal the day prior or morning of the wedding.
- Overview of guest seating and usher instructions.
- Processional instructions and etiquette advice on seating of family.
- Coordination of wedding party processional, recessional, and location during the ceremony.
- Timing and cues with officiate and music provider.
- Meeting locations and times for all wedding party and family on the wedding day.
Wedding Day
- Coordinator and team member onsite for full duration of the event – unlimited hours.
- An average of about 16hrs. total will be worked by coordinator and team members.
- All weddings will include your coordinator plus two ACO assistants. Any additional staffing beyond the above listed will be provided at the cost of the client.
- Arrival 30 mins. to an hour prior to first vendor or wedding party arrival time. (whichever is earliest)
- Personalized getting ready timeline setup in Bridal and Groom’s Suites morning of the wedding.
- Setup of Bridal and Groom’s Suites morning of the wedding if located onsite with reception venue.
- To include: breakfast/brunch, lunch, personalized getting ready timeline, and wedding party gifts. Client is responsible for all breakfast/brunch cost. All selections will be approved prior to the wedding week. Any food items needed after the coordinator’s arrival will need to be setup as a delivery only.
- Full setup and breakdown of both ceremony and reception sites to include rentals and personal décor.
- Assurance that both the ceremony and reception locations are set 30 minutes prior to the first guest’s arrival.
- Tables, chairs or large/time restrictive sets beyond the capacity of the coordinator and assist with be staffed with additional Ashley & Co team members at the expense of the client.
- Acceptance of all vendors and guidance of set up instructions.
- Coordination of pre-ceremony activities including hair and makeup schedules, wedding party and family arrival times, getting ready times and photos.
- Coordination and pinning of all floral with corresponding attendants and family members.
- Full coordination of wedding ceremony on the wedding day
- Directing guests to ceremony site
- Organizing ushers and family seating
- Execution of family, wedding party, and bridal processional along with music cues.
- Greeting bride and groom post recessional to lead around for post-ceremony photos.
- Management along with photographer of post-ceremony photos from client provided family shot list.
- Providing water/drink refreshments for bride and groom during photos (if allowed by venue)
- Full coordination of wedding reception on the wedding day.
- Assistance with Bride and Groom refresh prior to formal entrance (bustling of dress, shoe change, light refreshments, etc.)
- Timing management and cues with reception site manager, vendors and Bride and Groom while moving through reception activities. (dinner, formal dances, cake, toasts, etc.)
- Gathering and packing of all items to be packed with family the night of the wedding. (gifts, personal decor, leftover food/cake, etc.)
- Placement of bride and groom’s overnight bags and to-go meals in designated transportation vehicle for the end of the evening.
- End of night clean-up of reception facility after guests depart to include: trash removal, bride/groom suite clean out, removal and packing of all linens, rentals and client personal items.
- Trash will be placed in designated receptacles. We will not hall off any trash from facilities that do not provide dumpsters.
- Trash removal services during the event will need to be managed by catering or bussing staff.
- Tables, chairs, trash management, or large/time restrictive breakdowns beyond the capacity of the coordinator and assistant will be staffed with additional Ashley & Co team members at the expense of the client.
- Trash will be placed in designated receptacles. We will not hall off any trash from facilities that do not provide dumpsters.
