Whether planning a small ceremony for 50 or a grand reception for 500, our team offers support every step of the way. It is our goal to create a personalized wedding from the initial consolation to wedding day that is the perfect reflection of your vision.Tailored for the bride who has diligently planned every detail, our Month-Of Planning Package is designed to seamlessly tie up loose ends and orchestrate a flawless wedding day. You've put in the groundwork, selecting vendors and design elements, and now it's time to hand over the reins to us. From refining the timeline to overseeing vendor setups, we ensure every aspect is executed with precision, allowing you to bask in the joy of your special day without worry. We take over the final details, managing your carefully laid plans so you can sit back, relax, and enjoy your dream wedding.
Services Include
Complimentary Initial Consultation:
• Review and understand your vision for the wedding and outline our scope of services.
Communication & Meetings:
• Initial planning meeting held six months prior to the wedding, to map out a preliminary timeline
and wedding layout.
• Final coordination meeting held one month prior to the wedding, to finalize the detailed
timeline and event logistics.
• Unlimited emails, and phone calls with office staff and/or coordinator.
* Email responses within 48 business hours.
Planning Assistance:
• Access to a personalized wedding portal filled with interactive forms and questionnaires to
help streamline your planning journey.
Timeline Management:
• Detailed ceremony outline, including seating of immediate family, wedding party processional
and song selections approved by the client.
• Detailed wedding day outline, including order of events, song selections, and vendor arrival
times approved by the client.
• Final timelines distributed to vendors one week prior to the wedding day.
Venue Diagram:
• Custom venue diagrams in exclusive ACO diagramming system to define ceremony and
reception guest layout and flow.
• Detailed diagrams to include linen color coding, table numbering, seating details and décor
placement.
• Final diagrams distributed to vendors one week prior to the wedding day.
Personal Items:
• Collection of small personal items at the shop the week of the wedding to be packed with the
client the night of the wedding.
Rehearsal Day
Ceremony Rehearsal:
• Full coordination of the ceremony rehearsal from processional to recessional.
• In-depth overview of family seating arrangements and usher instructions.
• Guidance on processional, including etiquette advice on seating of family members and
wedding party placement.
• Coordination of the family and wedding party's processional, recessional, and positioning
during the ceremony.
• Ensure precise timing and cues with the officiant and music provider.
• Wedding Party and Family Coordination:
• Provide clear meeting locations and times for all members of the wedding party and family on
the wedding day.
• Ensure everyone is well-informed and prepared for their roles and responsibilities.
Our goal is to create a stress-free and organized rehearsal experience, setting the
foundation for a perfect wedding day.
Wedding Day
Onsite Coordination & Staffing:
• Lead coordinator onsite for a MAXIMUM of 10HRS on the wedding day for setup, overseeing
vendors, on-site management, and post-event breakdown.
* 1HR to be dedicated to rehearsal either on wedding day or the day prior.
** Onsite hours must comply with venue rules and regulations. Additional hours
required are billed at an hourly rate of $150/hr.
• 1 ACO assistant onsite for a MAXIMUM of 10HRS on the wedding day to support the lead
coordinator with setup, on-site management, and post-event breakdown.
* 1HR to be dedicated to rehearsal either on wedding day or the day prior.
** Additional staffing may be added at the discretion of the coordinator at the cost to
the client ($100/hr).
Ceremony and Reception Setup:
• Minimal setup of client personal items at ceremony and reception sites.
• Wedding day rentals and client personal items beyond the team s capacity will be staffed with
additional Ashley & Co team members at the expense of the client.
• Assurance that both ceremony and reception locations are set 30 minutes before the first
guest s arrival.
• Acceptance of vendors and guidance for setup instructions.
Pre-Ceremony Activities:
• Coordination of pre-ceremony activities, including vendor arrivals and setup, wedding party
and family getting ready times, and photos taking place within the coordinators contracted
hours.
• Coordination and pinning of all floral with corresponding attendants and family members.
Ceremony Coordination:
• Full coordination of the wedding ceremony.
• Directing guests to the ceremony site.
• Organizing ushers and family seating.
• Executing family, wedding party, and bridal processional along with music cues.
• Greeting bride and groom post-recessional to lead around for post-ceremony photos.
• Management, along with the photographer, of post-ceremony photos from the client-provided
family shot list.
Reception Coordination:
• Full coordination of the wedding reception following the predetermined wedding day timeline.
• Assistance with bride and groom refresh before formal entrance (bustling of dress, shoe
change, light refreshments, etc.).
• Timing management and cues with reception site manager, vendors, family, bride and groom
during reception activities (dinner, formal dances, cake, toasts, etc.).
End of Night:
• Gathering and packing of personal items to be taken by the family at the end of the wedding
night (gifts, personal decor, etc.).
• Guidance of designated party responsible for the placement of bride and groom s overnight
bags and to-go meals in the designated transportation vehicle.
• Initial guidance for designated parties responsible for handling end of night clean-up after
guests depart, including trash removal, bride/groom suite cleanout, removal of rentals, and
client personal items.
*Final facility clean-up remains the responsibility of the client and vendors. Final cleanup
must comply with venue rules and regulations. Additional hours required are billed
at an hourly rate of $150/hr.
